This is the main screen of the WorldSharp Bond/Stockholder Accounting System. It has tabs across the top and some of the tabs have additional tabs under them.
This is the screen to enter the issue information. The grid will have a row for each issue. Once the issue has been entered or selected, all other screens will have information for that issue. Many times, there will be only one issue.
The Stock Issue may be divided amount what we call sub-issues. For example one sub-issue might be used for 'common' stock and another might be used for 'preferred' stock. A stockholder could have common stock, preferred stock or some of both.
There are a lot of properties of sub-issues, so the screen can be 'Expanded' to look like this screen.
The 'Holder' tab contains the Stockholder Information. The operator can move through the holder records and search for a particular record by stockholder number, name or Tax ID Number.
There are other fields which can be displayed by pressing the 'Expand' button. The tabs at the bottom display specific information (certificates for example) for the selected holder.
This screen displays the certificate information by certificate number. It shows or scrolls to all certificates instead of just certificates for a particular holder as the previous screen did.
The lines in the grid are color coded for specific types of certificates. For example a cancelled certificate is grey while a normal active certificate is white. A restricted share certificate is pink.
The screen also shows whether the number of shares is in balance. As certificates are cancelled, the screen shows 'Out of Balance'. And then as a new certificate or certificates are added, the screen will show that it is back in balance.
When the 'Expand' button is pressed, the remaining fields for the certificate are displayed.
Book Entry Transactions may be entered or displayed with this screen.
A cash dividend can be calculated using the options and buttons on this screen.
Normally the operator would do a 'Trial Calculation' and if that looked correct, then the 'Calculate Dividend' would be run. When that is run, the disbursements are created and can be seen in the 'Processing/Disbursement' tab.
A stock dividend or split can be calculated using this screen. If new certificates need to be created or there should be checks created in liew of partial shares, those will be created automatically.
If the dividend re-investment feature is being used, those functions required to process those stockholders are available on this screen.
This Screen shows the disbursements that are ready to show on a register report, print on a document or export to another system or file. The different types of disbursements can be accessed using the specific tabs or all of them can be shown by using the 'Combined' tab.
The lines in the grid are color coded to indicate which type of disbursement it is.
The ACH items can be exported to the WorldSharp ACH Item Preparation System and the checks can be exported to the WorldSharp Check Reconciliation System.
The operator can 'mouse over' or 'hover' on the form listed on the left side of the screen and the options for that form will show on the right side of the screen. If the operator changes any of the options, those changes will be saved by the system so that the settings will not have to be entered again the next time the form is printed.
The forms can be designed or changed in the 'System/Design' tab.
The operator can 'mouse over' or 'hover' on a report listed on the left side of the screen and the options for that report will show on the right side of the screen. If the operator changes any of the options, those changes will be saved by the system so that the settings will not have to be entered again the next time the report is printed.
The system will be intially set to use standard 3-up laser or ink-jet labels for the mailing labels. The settings for proxy labels are for 2-up labels. These initial settings can be changed by the operator.
Most of the fields on this screen will be set by the operator when the Stockholder system is intially set up.
Fields such as 'Next Holder Number' and 'Next Certificate Number' allow the system to set and increment those numbers automatically as the operator enters new holders and certificates.
The Adminstration section is used to enable certain functions and contraints on the operation of the system.
For example, in normal operation would not want to allow delete of holders or certificates, but during conversion or initial entering of information those functions might be necessary. The operator could turn on those functions and then turn them off during normal daily operation.
If necessary, the information about brokers can be stored in the system.
Invoices may be designed in the 'System/Design' tab and it would use some of the fields set in the 'Setup Invoices' screen.
A report of invoices required can be printed.
Fields that appear on that report or on the invoice forms can be entered or changed in this screen.
At conversion, work could be saved by importing some of the information from files or spreadsheets. This is the screen where you would set parameters describing such files to be imported.
At the end of the year, information to create 1099's needs to be exported to the 'WorldSharp 1099 Preparation System'.
This screen allows the operator to specify the folder where the 1099 database resides.
After dividends are calculated, if any of the holders have requested their dividends to be automatically deposited, then that information needs to be exported to the 'WorldSharp ACH Item Preparation System'.
This screen allows the operator to specify the folder where the ACH database resides.
After dividends are calculated, if any of a depository (for example - CEDE) is to receive any of the dividends, then that information needs to be exported to the 'WorldSharp Depository Transfer System'.
This screen allows the operator to specify the folder where the depository transfer database resides.
After dividends are calculated, if the WorldSharp Check Reconciliation System is being utilized, then then the information of the issued checks needs to be exported to that system.
This screen allows the operator to specify the folder where the check database resides.
After dividends are calculated, if a file containing the issued check information is required, that file needs to be created.
This screen allows the operator to specify the parameters describing the location and format of that file.
Sometimes, it might be required to have the information about the holders in a spreadsheet or file. This screen allows the operator to indicate which fields should be in that file.
This could be used when a special report is needed which is not provided by the stockholder system.
Forms such as certificates and checks may be designed using the fields provided by the system.
There utility functions that are provided to be used in special situations or at year end.
